Description

The Program Assistant provides administrative support for all Foundation grant processes and programs.   Reports to the Vice President of Programs.

Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Maintains accurate and up-to-date grant software database information; generates a variety of reports utilizing grant software database, import and export functions for use by staff and Foundation board.
• Attend grant-related board meetings and assist in preparing Grant Committee meeting packet, updates for board meetings, drafting Grant Committee meeting minutes, and uploading meeting documents to Boardable.
• Communicates with grantees regarding requirements, website/report access questions, etc.
• Reviews grant documents for formatting, editing, and clarity.
• Assists with site visit scheduling, program event preparation, setup, and execution.
• Tracks status of grant inquiries and responses; reviews applications for completeness, requests supplemental documentation as necessary.
• Assists with grant notification process, generating letters, tracking receipt of signed grant agreements, initiating check requests, and tracking grant requirements.
• Assists in development and implementation of department systems and procedures as needed.
• Performs other related duties as assigned by BMF Vice President of Programs.

COMMUNICATION REQUIREMENTS:

• Frequent telephone, electronic and in-person contact with potential grantees, grant recipients, non-profits, and community representatives.
• Regular in-person contact with the Executive Vice President, Vice President of Programs, board members, and BMF team members

EDUCATION and/or EXPERIENCE 

High School Diploma or GED required. Bachelor’s Degree preferred.

• Displays a high level of initiative, good judgment, effort, and commitment towards completing assignments efficiently, including ability to prioritize tasks.
• Must demonstrate strong attention to detail, and evidence exceptional organizational and record-keeping skills.
• Team player with a commitment to demonstrating core values.
• Skills in Microsoft Office Suite, particularly Word, PowerPoint, Excel and Outlook. Must master grantmaking software and demonstrate an ability to learn and utilize other job-related software as required.
