Description
Sheets, Childs & Sandre PLLC, a municipal, real estate and condemnation law firm, is seeking a Real Estate Legal Assistant to support the primary real estate and right-of-way project manager and attorney team in a fast-paced, deadline-driven environment. This role is ideal for someone highly organized, detail-oriented, and experienced in property acquisition or general real estate support.
Responsibilities
- Real Estate & Right of Way Project Support
- Open and maintain new project and matter files
- Create and organize electronic and physical project files and document file sharing links
- Maintain project spreadsheets and tracking logs
- Request, receive, review, update, distribute and track land surveys, title commitments, appraisals, and related project documents
- Review, draft, prepare, send required standard real estate purchase correspondence forms and enclosures
- Track statutory notice and response deadlines related to acquisition offers
- Assist with purchase negotiations and coordination between attorneys, appraisers, surveyors, title companies, and clients
- Assist with drafting contracts, deeds, easements, closing documents, and other real estate transaction related forms
- Coordinate execution and recording of legal documents
- Prepare and organize closing packages and acquisition documentation through title policy
- Maintain detailed project status spreadsheets, updates and communication logs through file closeout
Litigation & Legal Support
- Manage active condemnation readiness and procedural status tracking
- Draft condemnation litigation authorization and standard hearing form documents
- Schedule and coordinate expert witness/consultant preparation meetings
- Title commitment update and management
- Prepare hearing exhibits, binders, electronic display presentation and supporting documentation and attend hearings for support and management as requested
- Request and track standard hearing payment notice and deposit or delivery documents
- Maintain administrative hearing deadlines, participant notices, and calendaring for attorneys
- Coordinate service of process and track hearing deadlines through completion of administrative stage
- Organize and maintain administrative case files and supporting documentation
Administrative & Billing Responsibilities
- Enter and track billable time and client expenses
- Assist with web-based property tracking database system entry
- Assist with client public meeting agenda, payment, and document signature request submission process
- Maintain organized electronic records within the firm’s document management and billing systems
- Coordinate meetings, calls, and project-related communications
- Assist with document scanning, file management, and records organization
- Prepare reports, spreadsheets, and status summaries as requested
- Communicate professionally with clients, courts, vendors, title companies, and outside consultants
- Assist with Zoom, Teams, and WebEx hearing or meeting setup as needed
Qualifications - 3–5 years of legal assistant, legal secretary, right of way, or real estate legal support experience preferred
- Right of way; condemnation, eminent domain, municipal law, or real estate experience strongly preferred
- Strong organizational, multitasking, and project coordination skills
- Ability to manage multiple deadlines and priorities in a fast-paced environment
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Proficiency in Microsoft Office, including Word, Excel, and Outlook
- Experience with e-filing systems and legal practice management software preferred
- Ability to work independently while also collaborating effectively with attorneys and staff
Position Details
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Location: In-office (Round Rock, TX) with possible flex schedule following training
