Description
We are seeking a highly organized, proactive, and missionaligned Executive Assistant to provide highlevel administrative and logistical support to our member’s CEO and CFO. This parttime hourly role (approximately 20 hours per week) is ideal for someone who thrives in a dynamic environment, excels at managing complex workflows, and is committed to supporting leaders who are driving meaningful impact.
The Executive Assistant will report to the Vice President of People & Culture and work closely with the CEO and CFO. While the schedule can be hybrid, availability is required for biweekly Monday staff meetings and biannual staff retreats (in person). Preference for someone to work at least one day a week in the Detroit office.
Key Responsibilities
- Manage and optimize executive calendars, workflows, and scheduling across internal and external stakeholders.
- Prepare executives for key meetings by gathering briefs, preparing materials, coordinating logistics, and ensuring followup actions are completed.
- Track current and upcoming activities, including team meetings, interviews, conferences, project participation, and speaking engagements.
- Coordinate travel for the CEO, including booking arrangements, preparing itineraries, and tracking expenses.
- Collect and track monthly credit card expenses and prepare documentation for Finance reconciliation.
- Support special projects, events, and strategic initiatives as needed.
- Draft, manage, and organize correspondence, including email communications.
- Uphold and model Fair Food Network’s commitment to justice, equity, and inclusion in all work.
- Perform additional duties as assigned.
What You’ll Need
- HS diploma and/or some college
- 3+ years of relevant executive support experience.
- Strong organizational skills and clear written and verbal communication.
- Ability to work effectively in a remote or hybrid environment.
- Comfort with virtual collaboration tools (e.g., Zoom, Microsoft Office Suite, Concur) and managing calendars across time zones.
- Familiarity with online filesharing and communication platforms.
- Ability to occasionally work outside standard hours to support urgent travel or meeting needs.
- A customerservice mindset when interacting with staff and external partners.
- Experience supporting senior executives or organizational leaders.
