Reporting to the Chief Medical Officer, the Executive Assistant will provide high-level administrative support to the CMO and select members of the Medical leadership team. This person will also support the SVP, Regulatory Affairs, SVP, Clinical Operations and other key development leadership. The ideal candidate is a reliable, self-motivated team player who excels at managing multiple priorities with professionalism, sound judgment, and discretion. This individual will also collaborate closely with the broader administrative team to promote operational efficiency, consistency in best practices, and a positive, well-coordinated office environment.
This role is based in our Waltham, MA headquarters. Our office-based employees are required to work in the office three (3) days a week.
Responsibilities (including, but not limited to):
- Support the CMO, SVP, Regulatory Affairs & SVP, Clinical Operations & Data Management as well as key development leadership team members daily with all administrative needs including proactive calendar management, meeting preparation, agendas, presentations
- Plan and execute offsite meetings including vendor sourcing, negotiations, and contract review
- Arrange domestic and international travel including anticipating changes and complexities such as weather, visa, and entry requirements
- Manage and monitor department, project or events budgets
- Identify and provide solutions to areas of opportunity for the organization such as, travel partners, preferred vendor relationships, service providers, technical solutions or best practice
- Coordinate and support onsite team meetings
- Facilitate communication between executive leadership team members and their administrative support
- Assist with candidate coordination, scheduling and hosting onsite meetings
- Draft, finalize, and distribute memos, agendas, and meeting notes
- Prepare and submit expense reports
- Research and manage special projects upon request
Requirements
- Bachelor’s degree preferred
- 8+ years’ executive administrative support
- Experience supporting executives in a public company
- Exceptional verbal and written communication skills
- Extensive experience with PowerPoint and Excel
- Experience supporting development teams in a biotech company is preferred
- Ability to promptly follow-up on new assignments with status and outcome updates
- Strong attention to detail with solid organizational skills and the ability to systematically track activities
- Ability to exercise good judgement and work calmly during periods of high urgency
- Proven track record of operating with the highest level of confidentiality, including handling material non-public information
- Proven mindset of proactive problem solving and continuous improvement
- Efficient independent worker with ability to focus and drive for results
- A solutions-oriented, collaborative team player
- Strong attention to detail
- Ability to work in a fast paced-environment and to handle multiple tasks
- Strong commitment to ethical standards
- Ability to travel as required for company meetings & events
- The salary range for this position is commensurate with experience
