Description
Juniper Preserve, located in Bend, OR, is pleased to announce an excellent career opportunity for a seasonal, full-time Executive Administrative Assistant! We are seeking a driven individual who is eager to learn, contribute, and grow within a fast-paced hospitality-focused property organization. As part of Troon, you'll contribute to a global leader in golf and community management.Status: Temporary position from June 22nd - August 21st.
Schedule: Monday through Friday 8:30am-5pm.
SUMMARY

We are seeking a polished and highly intuitive Executive Assistant to support the General Manager and leadership team. This role is more than administrative-it is a key partner in delivering seamless operations and elevated guest experiences. An Executive Administrative Assistant provides high-level administrative support to senior leadership, managing complex calendars, logistics, communications, and confidential materials. They act as a liaison between executives, staff, and external clients, ensuring efficient office operations

ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Partnership
- Serve as a strategic partner to the General Manager, managing priorities, schedules, and communications with discretion and efficiency
- Anticipate needs, prepare materials in advance of meetings, and ensure seamless daily operations
- Coordinate complex calendars, travel arrangements, and high-level meetings with exceptional attention to detail
- Proactively track follow-ups and ensure timely completion of key initiatives
- Prepare and submit monthly expense reports for the General Manager with accuracy and timeliness
Operational Excellence
- Oversee the flow of daily administrative operations with the EC Team across the resort
- Manage office systems, supplies, and communications with a focus on efficiency and presentation
- Coordinate internal processes including mail distribution, purchasing support, and administrative logistics
- Support light IT coordination and ensure office functionality meets operational standards
Meeting & Experience Coordination
- Attend Weekly Executive Meetings; organize, and distribute clear and concise meeting notes and action items
- Curate and coordinate meetings, including agenda development, documentation, and follow-through
- Prepare polished reports, presentations, and correspondence aligned with brand standards
- Assist in hosting resort visitors, ownership groups, and VIP guests with professionalism and warmth
Ownership & VIP Experience
- Serve as the primary point of contact for ownership and their guests travel to the resort
- Coordinate and curate seamless arrival experiences, itineraries, and special requests
- Partner with internal teams to ensure exceptional, personalized service delivery
Culture & Engagement
- Plan and thoughtfully execute executive team celebrations and recognition moments
- Contribute to a positive, engaging, and detail-oriented workplace culture
Cross-Functional Support
- Collaborate with departments across the resort to support key initiatives and peak operational needs
- Provide administrative support to the Executive Team as needed
- Maintain critical records and tracking systems (membership, HOA, real estate, assets, etc.) with accuracy and confidentiality
Brand & Culture Stewardship
- Uphold the highest standards of professionalism, discretion, and service excellence
- Protect confidential information and act with integrity at all times
- Champion Juniper Preserve's core values, service philosophy, and sustainability initiatives
- Contribute to a positive, polished, and detail-oriented work environment
QUALIFICATIONS
Required
- Hospitality degree or business administration background
- 3-5+ years in hospitality, luxury resort, or hotel operations
- Experience supporting senior leadership, executive office, or department heads
- Strong understanding of resort operations (Guest Services, Hotel, F&B, Events, Spa, Activities)
- Experience in fast-paced, guest-focused environments
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- High level of professionalism and discretion with confidential information
- Ability to prioritize competing demands and shift quickly
- Problem-solving mindset with strong attention to detail
- Guest service mindset with polished interpersonal skills
- Ability to work cross-functionally with multiple departments
- Ability to work on-site
