Event & Member Services Assistant

Position Summary
The Event & Membership Assistant plays a key support role in coordinating association events, maintaining membership engagement, and assisting with administrative and operational functions. This position requires someone who thrives in a fast-paced environment, enjoys building relationships, and can manage multiple projects simultaneously with professionalism and attention to detail.
This role works closely with the CEO and CFCA staff to support conferences, sponsorships, membership communications, committee coordination, and day-to-day office operations.
Key Responsibilities
Event Support
Assist in planning and executing conferences, meetings, webinars, committee meetings, and member events
Coordinate attendee registration, confirmations, and event communications
Support sponsor and exhibitor logistics, including tracking deliverables and responding to inquiries
Assist with onsite event operations, registration check-in, setup, and vendor coordination
Maintain event timelines, spreadsheets, and organizational systems
Coordinate hotel rooming lists, catering details, and meeting materials
Membership Support
Assist with membership renewals, invoicing, and member outreach
Maintain accurate membership records and databases
Respond to member inquiries in a timely and professional manner
Help develop member communications, newsletters, and marketing materials
Support membership recruitment and retention efforts
Assist in tracking sponsorships, committee participation, and member engagement
Administrative & Office Support
Provide general administrative support to the CFCA team
Assist with data entry, document preparation, and reporting
Coordinate shipping, supplies, and event materials
Support social media and website updates as needed
Participate in staff meetings and organizational projects
Qualifications
1–3 years of administrative, membership, hospitality, nonprofit, or event coordination experience preferred
Strong organizational and multitasking skills
Excellent written and verbal communication abilities
Professional, positive, and customer-service-oriented attitude
Ability to work independently and collaboratively in a hybrid work environment
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Experience with CRM/database systems, event platforms, or project management tools is a plus
Ability to occasionally travel and work evenings/weekends during events
