KAEC is seeking a detail-oriented and organized Administrative Assistant to support the smooth operation of daily museum and education center activities. This position plays a key role in providing administrative support to staff, assisting with day-to-day operations, coordinating communications, and helping ensure an exceptional experience for visitors, students, and community partners.

Reporting to the Executive Director, the Administrative Assistant supports organizational effectiveness and daily operations. This role is primarily responsible for maintaining organizational records and documents and providing administrative and strategic support to staff for long-term planning and operational decision-making aligned with organizational goals.
Key Responsibilities:
- Greet and assist visitors, providing information for the museum’s exhibits, programs, and events.
- Assist with marketing and social media as needed to support museum events and programs
- Handle incoming phone calls, direct inquiries, and provide excellent customer service.
- Perform general clerical duties, including photocopying, filing, and data entry.
- Assist with scheduling meetings, appointments, and coordinating museum events.
- Maintain accurate and organized records of museum activities, visitor logs, and administrative documents.
- Process payments for admissions, memberships, and gift shop purchases.
- Handle and reconcile cash, checks, and credit card transactions daily.
- Ensure that all financial transactions are documented accurately in accordance with KAEC policies.
- Support museum staff with various projects and tasks as assigned.

Requirements
Qualifications:
- High school diploma or equivalent required; some college education preferred
- Prior experience in an administrative, non-profit, or museum setting
- Strong organizational, analytical, and multitasking abilities
- Excellent verbal and written communication skills
- Proficiency in Google & Microsoft Office Suite (Word, Excel, Outlook), Canva/Adobe, and basic office equipment
- Comfortable handling money and performing basic financial transactions
- Demonstrated discretion, sound judgment, and strong integrity
- Ability to work independently and as part of a team
- Must pass a background check
This is a full-time, hourly weekday position with occasional evening and weekend responsibilities. The position includes paid time off (PTO), overtime eligibility, paid holidays, health insurance, and a 401(k), in accordance with organizational policies.
Compensation is competitive and based on experience.
