Job Description
The Tax Assistant / Junior Tax Associate at Citrine Capital plays a vital role in supporting our tax team, specifically working side-by-side with our Director of Tax. This individual will own the administrative lifecycle of our tax preparation services, oversee our practice management software (Canopy), and assist with technical data entry and IRS dispute resolution.
The ideal candidate is tech-savvy, highly organized, possesses a baseline understanding of tax documents, and is comfortable communicating with clients and tax authorities alike. Because this is a fully remote role, the ability to work independently and manage project timelines with minimal oversight is essential.
Primary Responsibilities:
Canopy & Workflow Management: Fully own our Canopy practice management system. Send out digital tax organizers, monitor the client portal, track missing client documents, and actively manage the task pipelines for standard and extended tax returns.
Tax Prep & Data Entry: Assist Tax Director by organizing client source documents (such as W-2s, 1099s, and K-1s) and performing initial data entry into tax software to get returns to a review-ready state.
IRS Notice & Resolution Support: Act as the first point of contact for client tax notices. Input notices into Canopy’s Resolution module, utilize Form 2848 to pull automated IRS transcripts, and draft initial notice response letters using firm templates for Tax Director’s final review.
Client & Tax Authority Communication: Professionally follow up with clients regarding missing tax details and handle communication or hold times with the IRS Practitioner Priority Service line when necessary.
Extension Tracking: Monitor and manage the pipeline for the 50% of our tax book that extends into the summer and fall, ensuring no deadlines are missed between February and October.
Relevant Qualifications, Skills, and Experience:
Essential:
Our firm is based on the West Coast. Availability during Pacific business hours is required to sync with the team and clients. Outside of those times, you are free to complete your work on a schedule that suits you.
Legally authorized to live and work in the US.
Experience with professional tax preparation software, specifically Wolters Kluwer (CCH Axcess / ProSystem fx) or Thomson Reuters (UltraTax / GoSystem).
1 to 2 years of experience in a tax preparation environment, CPA firm, or professional wealth management/accounting setting.
Baseline literacy of tax forms (including W-2, 1099, K-1, and Form 1040) and an understanding of the tax season cycle.
Proficient in Microsoft Office and Google Suite (specifically Excel and Google Sheets).
Excellent time management, strong organizational skills, and the ability to prioritize multiple client files simultaneously.
A drive to deliver quality work with a high degree of mathematical and data-entry accuracy.
Demonstrates personal integrity, honesty, and the ability to handle highly confidential financial details daily.
Desirable:
Direct experience using Canopy (or similar tax practice management software like TaxDome or Karbon).
Active Enrolled Agent (EA) license or CPA candidate looking to grow their tax career.
Experience drafting responses to IRS or state tax notices.
Enthusiastic about learning new cloud-based software tools for maximum efficiency and automation.
Communication Skills: English

Salary range: $62K to $77K plus bonus (depending on experience)
