Job Description:
The Personnel Assistant I will support the ID Card Section of MaD. The position performs a variety of tasks including, but not limited to clerical type duties. The work is under general supervision of higher-level personnel in preparation of various tasks involving Common Access Card (CAC), the Defense Enrollment Eligibility Reporting System (DEERS) and the Real-time Automated Personnel Identification System (RAPIDS). The Personnel Assistant I is expected to always exercise discretion and tact; limited judgment may be necessary at times. The assistant may be required to operate general office equipment such as: computer, copier, CAC card machine, printers, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Establishes/Maintains required forms, records, and files.
• Makes appropriate additions, revisions, and/or edits to records and files.
• Ensures requirements for "For Official Use Only" materials are properly followed, received, and secured in accordance with Army Regulations.
• Provide service to walk-in customers, without access to Personnel Records Display
Application (PRDA) to screen, review and audit their personal military personnel record;
Forward new ARMS documents to AFPC for scanning; Account, review and assist customers to resolve any discrepancies in ARMS.
• Manage the awards and decorations programs; provide general guidance on awards and
decorations; process award recommendations; resolve all awards and decorations email,
walk-in and phone requests.
• Receives and answers routine and complex telephone and electronic mail inquires or refers to
appropriate staff member.
• Uses good judgment and tact to answer recurring questions and resolve clerical and/or
administrative problems.
• Provides data input, information retrieval, and manipulation services to service members.

• Research and reviews personnel records for mistakes or gaps and rectify changes.
• Research and/or provides factual information on personnel related issues to service
members regarding directly applicable rules, regulations, procedures, and requirements to provide explanations of actions taken or recommended.

• Uses Real-Time Automated Personnel Identification System (RAPIDS) and Defense Enrollment
Eligibility Reporting (DEERS) system to provide excellent customer service.
• Uses administrative and clerical skills to maneuver and process through various software systems to complete tasks.
• Always maintains professionalism and provides outstanding customer service to each service
member or client.
• Must comply with all OSHA regulatory requirements.
Requirements:
NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Must be able to devise steps necessary to complete tasks.
• Ability to prioritize work, complete multiple tasks, and work under deadlines.
• Excellent personal communication skills
• Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
• No direct supervisory responsibilities.
EDUCATION and/or EXPERIENCE:
Minimum Requirements:
• High School education or equivalent.
• College degree and military background is a plus.
• Must be able to pass a National Criminal Background Check and obtain a Common Access Card.
• Working knowledge of objectives, processes, and procedures of military personnel management to
include automation functions in the Defense the Defense Enrollment Eligibility Reporting System
(DEERS) and Real-time Automated Personnel Identification System (RAPIDS).
• Must have proficient computer skills and experience in using Microsoft Office.
• Must be able to effectively communicate with employees within the office, personnel in other offices
and military personnel to clarify, obtain or provide information.
• Ability to relate to and work with people.
• Excellent judgment and interpersonal skills.
• Knowledge of principles and processes for providing customer and personal services (i.e., meeting
quality standards for services and evaluation of customer satisfaction).
• Knowledge of principles and processes of personnel information systems.
• Knowledge of Common Access Card (CAC) procedures and regulations.
• Knowledge of Airforce rank structure and military unit relationships.
• Knowledge of mobilization/demobilization operations IAW FORSCOM Regulation 500-3-1
through 500-3-5.
• Ability to monitor/assess performance of self and organizations to make improvements or task
corrective action.
• Ability to identify complex problems and review related information to develop and evaluate
options and implement solutions.
• Ability to speak, read, write, and understand English.

PROJECT JOB DESCRIPTION
• Ability to obtain access and be proficient in one or more automated systems to accomplish tasks as required by mission requirements, such as DEERS, RAPIDS.
• Must be able to obtain and maintain CAC Card access and network access.
• Must be able to sit for long periods of time with minimal breaks.
PHYSICAL DEMANDS:
Essential and marginal functions require maintaining physical condition necessary for: bending, stooping, sitting, walking, or standing for prolonged periods of time, often in rough high-desert terrain and in severe weather; moving or lifting items weighing up to 40 pounds; operating through extended periods of high stress.
Must possess visual acuity to review written documentation; ability to hear and understand speech at normal room levels and on the telephone; and the manual dexterity to operate a cell phone, handheld radio, telephone, and keyboard. Must be able to work unusual and extended hours to include weekends and holidays. Must be able to work in fast paced, multi-task environment.
WORK ENVIRONMENT/HOURS:
Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The noise level in the work environment is usually moderate. In addition, personnel will require having flexed hours to accommodate for mission requirement to include weekends and holidays. Overtime can be required.
Additional Qualifying Factors:
Must be a U.S. citizen. Reliable transportation to/from work is a necessity. Must be able to maintain proper state registration, proof of insurance, and a valid driver's license to operate Privately Owned Vehicles (POV) on a military installation. Employee is expected to dress appropriately and be punctual for their shift. The employee must be dependable and have strong communication skills while meeting project deadlines. Must maintain accurate hours on timesheet through Cost Point.
