Background
Central Louisville Community Ministries (CLCM) has been working with and advocating for our neighbors in need in the central Louisville area for almost 60 years. We are focused on helping our neighbors access their basic needs and stay safely in their homes, thereby preventing homelessness. We are one of the 13 members of the Association of Community Ministries, a network unique in the nation for covering the entire Metro area. We provide emergency financial assistance with rent and utilities and access to food, hygiene and household supplies, clothing, transportation, case management, free legal advice, medication assistance and more. Job Summary
The Assistant Director is a staff member of Central Louisville Community Ministries, and as such will uphold CLCM’s vision and mission and conduct the business of the Ministry in a trustworthy, compassionate and people-centered way. The Assistant Director is responsible for ensuring the smooth daily operation of the organization, providing financial/administrative leadership, and supporting program delivery. This hands-on role manages office logistics, human resources, and technological infrastructure, ensuring compliance with legal standards and strategic goals.
Reports To: Executive Director
Position Type: Full-time; on-site Monday-Thursday, remote Friday. Occasional work outside regular office hours for events, community outreach, etc.
Key Responsibilities
- Operational Management: Cross-train on all Emergency Assistance processes and provide additional capacity to that team. Develop and implement procedures to streamline workflows and maximize productivity, including overseeing office logistics and IT systems and ongoing staff education. Maintain an operating procedures manual.
- Financial Administration: Work with the Executive Director, bookkeeper, Board, and CPA to develop budgets, manage accounts payable/receivable, track expenses, grants, and donations, make deposits, oversee the annual preparation of the 990, and prepare and submit all programmatic and other performance reports.
- HR & Volunteer Coordination: Assist with staff onboarding, manage volunteer recruitment/scheduling, and maintain HR compliance. Monitor employee benefits.
- Support & Compliance: Ensure compliance with nonprofit regulations, maintain databases and filing, and support fundraising efforts, including grants.
- Culture & Communication: Promote a positive, organized team culture and serve as a central point of communication for staff and stakeholders.
- Administrative Leadership: Act as a representative of CLCM when the ED is unavailable and assist CLCM’s ED in pursuing outlined strategic plan initiatives.
Requirements
Qualifications
- Experience: 2+ years of demonstrated experience in non-profit operations, administration, or a similar environment, including effective management of staff and volunteers and financial administration including accounting processes.
- Education: Bachelor’s degree in Business, Nonprofit Management, or related field preferred.
- Skills: Strong proficiency in Microsoft Office/Google Drive, CRM/donor software, client database, and financial management tools including QuickBooks. Strong organizational skills and ability to manage multiple projects. Strong verbal and written communication skills.
- Attributes: High level of organization, self-reliant, creative, able to multitask, excellent communication skills, willing to learn, and has a "wear many hats" mindset. Ability to handle sensitive and confidential information, works well with diverse populations and implements trauma-informed care practices. Passion for making a difference in our community and for systems improvement and workflow analysis.
