ASSISTANT DIRECTOR OF AUXILIARY PROGRAMS
The Assistant Director of Auxiliary Programs is the primary operational leader of WMA’s Summer Camp programs and, in partnership with the Director of Auxiliary Programs, will be responsible for planning, staffing, and executing a dynamic and engaging camp experience. Beyond the summer season, this individual provides logistical and administrative support for all auxiliary initiatives, helping to generate non-tuition revenue and strengthen WMA’s community engagement.
Primary Duties Responsibilities
- Summer Camp Leadership & Management Serve as the on-site leader throughout the summer, managing the daily operations of the camp programs and ensuring a safe, enriching, and mission-driven environment for all participants.
 - Oversee hiring, training, scheduling, and supervision of seasonal camp staff, including counselors, activity leaders, and support personnel.
 - Direct all aspects of camper experience, including registration, check-in/out procedures, attendance, rosters, and daily schedules.
 - Act as the primary liaison for families, ensuring clear and timely communication before and during camp sessions.
 - Provide crisis management and on-the-ground decision-making, addressing safety issues, behavioral concerns, and operational challenges with professionalism and care.
 - Maintain strong partnerships with vendors, instructors, and program leaders to deliver diverse and engaging camp activities.
 
Summer Camp Systems & Operations
- Provide primary oversight of the web-based enrollment management system (CampBrain or equivalent) to support families, campers, and staff.
 - Develop and implement efficient systems for registration, reporting, and communication, leveraging technology to enhance the camper and family experience.
 - Collaborate with the Business Office on budget development, revenue/expense tracking, and financial reconciliation for summer programs.
 - Monitor key performance indicators such as enrollment, retention, and satisfaction, and propose improvements based on data and feedback.
 - Year-Round Auxiliary Program Support
 - Support the Director of Auxiliary Programs in the planning and execution of other auxiliary initiatives, including facility rentals, the school store, dining services, campus housing, and event support.
 - Assist in developing new programs and partnerships that align with WMA’s mission and generate non-tuition revenue.
 - Collaborate across departments—Business Office, Admissions, Marketing, Facilities—to ensure cohesive operations and exceptional service.
 
Technical & Professional Skills
- Proficiency with Google Workspace, Excel/Google Sheets, and CampBrain (or similar database systems).
 - Strong ability to design and implement technology-driven processes for program registration, scheduling, and reporting.
 - Proficiency with WordPress to support the Summer website.

- Proven ability to lead and motivate teams, especially in youth-focused programs.
 - Demonstrated initiative and independence, with strong organizational and problem-solving skills in a fast-paced environment.

Requirements
DESIRED QUALIFICATIONS
- Education: Bachelor’s degree required; advanced degree preferred.
 - Experience: Minimum 3–5 years of leadership experience in summer camps, youth programming,
 - or auxiliary programs, including staff supervision and program development.
 - Skills: Strong background in camp management, including staff hiring/training, camper engagement,
 - risk management, and budget oversight.
 - Financial acumen with experience in budgeting and revenue tracking.
 - Excellent written and verbal communication skills, with the ability to engage families and represent
 - the program publicly.
 - Strong project management skills with the ability to handle multiple priorities and meet deadlines.
 - Must successfully complete a background check.
 
PHYSICAL REQUIREMENTS
Ability to move around a multi-building campus, including traversing long distances, using stairs, navigating outdoor environments, and uneven terrain. Ability to bend, stoop, kneel, and reach above the head or below the waist. Must be able to lift, push, pull, or move materials and equipment weighing up to 30 pounds. Capable of standing and sitting for extended periods of time. Must be able to communicate effectively and visually observe and assess activities and inspect equipment, as well as the ability to use hands and fingers to operate office machinery.
