Description
Job SummaryRIT Housing houses over 6,500 students annually in a variety of housing types through comprehensive processes and procedures. The Assignment Assistant reports to the Senior Assignment Coordinator of RIT Housing and plays a critical role in managing housing assignments.
This position oversees daily room change requests, seasonal term assignments, Early Arrival and Late Departure processes, and special initiatives related to strategic management of vacancies to maximize revenue. The role requires close collaboration with Residence Life, Auxiliary Facilities, and Facilities Management Services to ensure accurate data, timely communication, and smooth occupancy transitions. The Assignment Assistant also supports marketing efforts to optimize housing revenue, maintains system accuracy through detailed reporting and database management. This role involves frequent interaction with students and parents and requires emotional intelligence to navigate sensitive conversations and provide referrals to campus support resources. Additionally, the position contributes to continuous process improvement and represents Housing at campus-wide events and service channels.
Job Responsibilities
- Responsible for processing and coordinating daily room change requests for both current and future academic years. This includes managing dashboards and workflows to ensure timely and accurate handling of requests. The role requires close collaboration with Residence Life, Auxiliary Facilities, and Facilities Management Services to support smooth transitions. Key responsibilities include student outreach, offer communications, and coordination of key distribution and access updates.
- Manages Early Arrival and Late Departure requests for both individuals and groups. This includes ensuring that the student portal pathways and pages are properly configured to accept requests and that automated communications are sent accurately. The role involves proactive outreach to departments bringing students in early or extending their stay, as well as coordination with Auxiliary Facilities and Facilities Management Services to confirm approvals or denials and ensure spaces are ready for occupancy. Communicates decisions to students, arranges alternate housing or temporary bookings when needed, and creates appointment times to manage the flow of arrivals. Additionally, billing documents are prepared and submitted to the Financial Manager, contributing to the generation of supplemental revenue.
- Collaborate with Auxiliary Facilities, Facilities Management Services and Residence Life for Room Turnover Process after a student checks-out. Including workflow of room inspections, cleaning, access, furniture and special projects. Sets priority of work to be done to accommodate pending room changes.
- Identify and market available housing vacancies to generate supplemental revenue. This includes leveraging website content, targeted email campaigns, and social media strategies to promote available spaces. Promote higher-rent vacancies and offer upscale housing options to students currently assigned to lower-rent units, with the goal of optimizing occupancy and increasing revenue through strategic reassignment and sales efforts.
- Manages the Double-as-Single Initiative, which aims to generate revenue while enhancing the student housing experience. This involves offering students assigned to multi-person rooms the opportunity to convert their assignment into a single-occupancy room. Identify eligible vacancies, market the upgrade option, and facilitate the reassignment process to ensure a smooth transition and maximize occupancy value.
- Process housing assignments and communications related to Spring Semester and Summer Term. Support preparations for spring and summer term arrivals.
- Responsible for creating open space lists and reviewing space closures & notes to ensure database system accuracy and transparency for all departments.
- Create detailed occupancy and assignment reports that can be used for data driven decision making.
- RIT Service Center license holder to resolve level 2 tickets related to relevant work providing excellent customer service. Continual slack support throughout the day to Service Center agents.
- Manage NTID Apartment assignments.
- Engages in a high level of student interaction, particularly related to room changes, and must demonstrate strong emotional intelligence to navigate difficult conversations and sensitive situations. The role includes offering appropriate referrals to campus support resources such as Residence Life, Case Management, Student Conduct, and the Student Health Center, ensuring students receive the guidance and support they need during transitional periods.
- Responsible for project-based work focused on continuous process improvement and workflow efficiency. This includes identifying opportunities to streamline operations, enhance staff productivity, and improve the overall student experience through thoughtful analysis and implementation of new strategies and systems.

Preferred Qualifications
2+ years' professional experience
Experience with housing assignment software or CRM platforms
Background in student services or housing operations
Skills in data analysis or workflow automation
